Last updated: January 2, 2021

Mike Markus
He is a CRM software enthusiast/analyst and the co-founder of CRMAdvice.org. He studied MC-IT Course from Melbourne University.

To sum up: HubSpot CRM has a simple user interface and you can start using its customer relationship management tool in a matter of minutes.

Their CRM is easy and straightforward; it’s clean and well designed around a sales representative’s typical daily work.

Moreover, HubSpot is the only CRM that gives most features for free. Not just for freemium, but after testing and analyzing they can seriously rival many paid tools.

You don’t see that very often.

HubSpot CRM Pros

On the scale of one to ten, I give them nine and a half.

There are many reasons for that. (especially the pros we have found after five years of using HubSpot CRM.)

Here they are in no particular order…

1. HubSpot CRM Email Marketing

One of the biggest advantages of HubSpot CRM is that it has made email marketing easy for you and your team.

With their tool you can be sure that your emails will get high open and clickthrough rates if they contain good messages.

IMPORTANT note to yourself:

It’s time to treat them like one.

With HubSpot CRM you can create good looking emails without waiting for designers or IT.

Quickly draft an email campaign that looks professional across any device.

With their library of beautiful email templates (which have been tested) you can be sure that they actually convert.

You can customize your layout, add images and calls-to-action.

You can even modify your content and colors to match your brand.

All this can be done with an easy to use drag-and-drop editor.

Personalize Email to Get More Opens and Clickthroughs

This is gold for any email sender.

Each subscriber has a lifecycle stage or any other information.

You can use it to serve up the most relevant subject lines, links, content, attachments, and calls to action.

After it’s all set up, schedule your email campaign, hit send, and know that your email will show up in each inbox at the optimal time regardless of the time zone.

That’s perfect!

Dive DEEPER Into Your Data

How to maximize the impact of your most important email campaigns?

By using A/B testing and engagement analytics. (You can easily do this with HubSpot CRM)

Using A/B testing gives you exact statistics on the subjects that get the most opens.

And the content with calls to action that earns you better engagement rates and MOST importantly, more sales.

As you can see from the picture above, you have the data to see who engages with each email and when, what device they use, and more.

Use this insight to design new emails that will catapult your future conversion rates through the roof.

HubSpot CRM announced 2019 where you can do up to 2,000 email sends a month (That’s not 2,000 email campaigns, that’s 2,000 emails sends in TOTAL).

(If you have a small database in the beginning, you DON’T have to link a third-party system to HubSpot CRM just to get some of those email campaigns off the ground.)

As you get larger though, you want to consider using third-party integrations or the HubSpot CRM Marketing Professional.

This is what you’ll get with the HubSpot CRM Free version:

2. Creating and Sharing Meeting Links

This HubSpot Meetings tool really is a game changer for anybody trying to schedule a time with your prospect.

(And gets tired of the back and forth: “Hey, are you free at 4 pm?”… “No, I’m free at 5, what about you?”)

Let’s be honest, this is tiring.

Here is you can schedule or create different types of meetings that you need to have.

Click “Creating meeting link”.

You can choose a Personal or a Team meeting.

Team meeting is when you need to have two or three meetings for which that you’re looking for the same availability on the calendar.

(All this is immensely convenient versus searching through the calendar and trying to match things up.)

Let’s create a Personal meeting.

On top, you’ll see an easy four-step process: Create Personal Meetings Link with HubSpot CRM.

Here you can fill out the information.

You can customize things based on your needs.

NB! You can customize it as much as you want with Meeting type.

There is also a reporting at the back end where you can see how much time people are spending in different types of meetings.

So if you REALLY want to focus on how to optimize your team, Meeting type can be super helpful.

This is where you configure it: Location, Invite subject, etc.

HubSpot CRM is going even as far as to let you can send reminder emails. (in the bottom part)

You can add multiple reminders: A week before, three days before, and one hour before they have to drive to the office.

Wow! That is simply great.

You can see here a customizable schedule throughout the week.

This is talking about when are you available to take meetings and you can choose the times.

If you, for example, would also be available on Saturdays, it is totally up to you.

You can easily personalize it all: Add hours, Minimal notice time, Buffer time (think about the bathroom breaks, or getting a drink of water).

Don’t take meetings from 9 AM-5 PM. Customize your schedule, and have a break for lunch…

…as you see from this example with “Monday”.

This might give you an idea of how to break it up. So you would have mid sections where the meeting couldn’t be booked.

It is just something to think about.

Form Questions

This is really a lead conversion point, but it’s also the ability to understand some contexts around the conversation.

Or simply getting some questions answered before you get on the call.

You can customize those fields and add as many questions as you would like to ask.

If you are affected by GDPR, there is a privacy and consent section which you can turn on.

What’s nice after saving all the changes?

You are immediately given a booking page link and embed code which you can start to use.

After copying the URL this is what your meeting page could look like.

This Meetings option in HubSpot CRM is a huge timesaver, as it also integrates into Gmail and Outlook.

Want to learn more about HubSpot integrations? Go straight to this topic list.

Next, another thing that saves you a ton of time in HubSpot CRM, is the Snippets tool.

3. Simplify Your Sales Communication With Snippets

When you think of HubSpot Snippets feature, think of the things you say over and over again. This might be about products, services, videos that you share, or pieces of content that you want to share.

To give you an idea, here is one micropiece example: let’s say you’re a speaker and people often ask about your biography.

You can create it once and share it next 100 times if someone asks about it.

Use it through Gmail, in your HubSpot CRM when contacting people, in notes, and also in templates.

The idea behind Snippets is: we say a lot of the same things over and over again.

It can be this one micropiece (your biography) that people ask about all the time.

Now you have it written.

Then you can quickly answer this question, but NOT by rewrite it again, but by adding this snippet to this email.

That really is the power of snippets.

Those microconversations are amazing, but we are only getting started.

The real power is in HubSpot CRM Templates.

Let’s dive in and see what you can do with the HubSpot CRM Templates tool.

4. HubSpot CRM Templates

When clicking on one of those folders, you can see templates that you’ve created.

It is good to know that you can easily move them, clone them, delete them.

You can also see when and who created them.

When talking about email templates, it’s useful to know that there is a templates library there.

Having this library gives you a lot of extra time.

You can change and modify the templates to your needs and use them within seconds.

Just imagine how much time this tool will save you on day-to-day operations.

Sending out 50+ emails every day without HubSpot CRM email templates would otherwise take hours and hours.

It comes with all the options: creating links, inserting images, adding documents, etc.

It’s all there.

So you can rapidly add more information that might be needed for the email you’re creating.

What is the best part about HubSpot integrations?

It’s the fact that it also integrates with your Gmail and Outlook accounts, so you can use it right in your CRM when communicating with your prospects, leads, and customers.

This is how powerful the HubSpot template tool can be.

There’re more to come.

5. Easily Automate Your Follow-up Emails With Sequences

The Sequence part is massive. (You can’t use it under the HubSpot CRM free option, but even paying for it is worth every dollar.)

At CRMAdvice this is by far the FAVORITE tool of HubSpot CRM.

First of all, what is a sales sequence?

The most effective sales sequences, ideally contain at least 8 touches over the span of 10 days at a minimum.

HubSpot Sequences allows you to create those automated workflows.

You can edit, clone, and move all those sequences – they are simple yet helpful things you can do.

Seriously, one top-notch thing about HubSpot CRM is that it gives you ALL those premade sequences.

Of course, you can create your own sequences from scratch, but if you don’t want to do that, you can use the ones HubSpot CRM has made for you.

But take a look at this, I’ll show you if we choose “Left voicemail/unable to connect” from the left side.

It starts to fill out these things for you.

Amazing job HubSpot team!

Create a Sequence From Scratch

In conclusion, HubSpot helps you to create those effective sales sequences.

I would definitely recommend starting with HubSpot premade sequences.

Even if you have an idea of what you want your sequence to look like…

I would look at these HubSpot ones.

to see what they have.

to see the wording they are use.

and how they are trying to get the leads back to contact with you, etc.

Why use the premade sequences?

BECAUSE they have spent a lot of time putting them together.

We at CRMAdvice have a great experience with using them – they work really well.

Once you have created and edited everything, you can go to Settings.

Here you can edit specific settings.

Another awesome thing is that you can send follow-up emails within a time range.

And when everything is DONE, you save it.

Then you will have an update on all the engagement numbers and metrics.

This gives you an overview of how your sequences are doing.

6. Organizing All Your Contacts Details

With HubSpot Lead Management you can organize all your contact details and integrations in one centralized database.

You can also create segmented lists and score leads so that sales reps can prioritize their outreach.

The Activity line shows you every detail about a lead in a single contact profile.

There is a chronological timeline of every touchpoint between a contact and your company, such as page visits, email opens, content downloads, social media interactions, and more.

It’s SO valuable! Now your sales team can get the full context of a prospect’s history and with that information make informed followups.

Prioritizing Your Leads

Salespeople are excited and ready to make some calls, But who to call?

Or if there are a lot of leads, who should they call?

HubSpot CRM makes it easy for your team to identify the most qualified leads by automatically assigning lead scores.

There are two options:

  • Create custom lead scoring criteria based on any behavior or characteristics,
  • Let HubSpot CRM create a predictive leads scoring system customized with your historical data in mind.

You can use those lead scores to prioritize followups for your sales team.

Or set up workflows to notify reps when their prospects reach a certain lead score threshold.

Really impressive stuff, especially for your sales team.

7. Closing Lucrative Deals

With HubSpot Pipeline Management you can focus on the right deals.

At the end of the day, you want to close lucrative deals, not let them slip through.

This is the view you’ll have when using HubSpot CRM.

We at CRMAdvice have an established sales process.

If you don’t have one and are starting from scratch, HubSpot CRM makes it easy for you with the drag-and-drop option.

The picture above shows Win probability. What is this?

It is your estimated probability of winning it.

What is the chance of it being won at this point and time.

It gives you a good overview of your pipeline.

With an ideal sales process in place you can take control of your pipeline and put all your energy into deals that really matter.

As you know, “what gets measured gets improved“.

With HubSpot you can track all the processes and pretty much diagnose the health of your pipeline.

Furthermore, you have full visibility of individual and team performance.

Using it on a day-to-day basis gives you an overview of progress towards sales quota.

…and daily-weekly-monthly trends in sales activities.

…and the overall value of the pipeline.

IMPORTANT! When there is a phase where you keep losing revenue.

You can adjust right away and make sure that this will not happen again by practicing sales rep closing skills for example.

8. HubSpot Integrations

If you’d like to integrate third-party software…

…you can do it with over 105+ apps with HubSpot integrations.

The extensive HubSpot integrations library lets you create powerful integrations to get even more marketing insights.

After going through the HubSpot CRM Pros, what about the cons?

Well, these are things that people on their payroll are not telling you.

HubSpot CRM has a few things which our team found yet to be perfected.

HubSpot CRM Cons

1. HubSpot CRM Landing Pages

Even though you can create and test beautiful landing pages that will generate leads for your business…

…there is one thing:

After using it for years, we think the landing page editor could be better, especially for people who are not developers.

Despite the fact that we are staffed with a strong development team there are times where landing pages are created by nontechies.

On the other hand HubSpot allows for greater flexibility for developers due to full access to the HTML used to create the page.

The advantage HubSpot CRM has is that its landing pages look great on any device – and there are no designers needed for that.

Personalized Content

The landing page tool gives you an option to display personalized content, forms, and CTAs for each and every visitor.

You can show different content based on a visitor’s device, source, even location, or any contact detailed stored in your customer relationship management tool.

We found that doing all this exponentially improved the performance of your landing pages.

A massive advantage of using HubSpot landing pages is its dashboard, which helps you to identify THE BEST converting landing pages.

You can always dig deeper to see how many visits, leads, and customers each page is generating.

With that information you can improve the performance of your page.

Changing some things here and there might boost your conversion rate from 9.4% to 13.5%.

Imagine what this growth would mean for your business in the long run…

Going even DEEPER, you can get customized keyword suggestions to optimize your page for search.

With A/B testing you can test each of your headlines, images, calls to action, and more to find out which version brings the best results.

Other than the landing page editor, which could be better for people who are not developers, HubSpot CRM landing pages are doing great.

HubSpot Pricing

You have two options: HubSpot CRM free version and paid version

Can HubSpot pricing get any better?

HubSpot CRM Free Version

HubSpot CRM free version does not have a trial, but it’s 100% free.

(Get started by clicking here.)

You can add 1,000,000 contacts… unlimited users… All for free.

Here’s the kicker – your access to HubSpot CRM free version has no time limit.

IMPORTANT! There’s one thing you should know.

Yes, you will need Marketing Hub if you want to accelerate the inbound leads cycle and automate your marketing process.

Plus, it will drive qualified leads to your CRM, so you can start your sales cycle.

Starting out with HubSpot CRM alone is completely fine if you already have a considerable amount of leads in the sales pipeline.

You might be wondering:

What features are included in HubSpot CRM free version?

  • Dashboards
  • Contacts
  • Companies
  • Deals
  • Tasks

Let’s quickly go through the features:

#1 HubSpot Dashboards

It’s quite simply, a collection of reports which let you track prospects interaction, and different deals in one location for quick visibility.

With the Free App you can use basic reports such as:

Productivity – this report shows you all the calls*, emails*, meetings*, notes*, and tasks your team has done in a selected time range.

Sales Performance – this report gives you an overview of your sales progress.

Deals Closed vs. Goal – in this report you can see revenue from closed deals vs. your team’s quota.

Deal Forecast – this report shows you the amount of revenue for deals in each stage of your sales pipeline

Recent Activity – have an overview of all the recent calls, tasks, emails, meetings, and notes logged by your team.

#2 Contracts

With the HubSpot Contacts section you can sort leads and customers from 100+ attributes.

(See examples below under “Contact Information”)

As the given ones are not enough, you can add your own fields in the HubSpot CRM free version as well.

#3 Companies

This section is similar to Contacts, instead of a person’s name it lists the company name.

It has all the details: emails, calls, notes, tasks, deals, related contacts, and a schedule.

All related data are in one place, so a sales rep can make a call or send an email from the same interface.

In addition, this view lets you see all the information about the company.

#4 Deals

HubSpot Deals is where you can see all your deals across a visual pipeline and track potential revenue.

You can easily sort deals by name, owner, state and amount.

Adding stages, defining the terminology, and configuring the pipeline improves your lead’s journey and increases your possibilities to close more deals.

#5 Tasks

HubSpot Tasks section is highly configurable.

It has all tasks and their associated records such as contact details, tasks and activities in one place.

There are many ways you can categorize your tasks. (Eight in total)

1. Title
2. Due date
3. Notes
4. By association
5. Task type
6. Assigned to
7. Email reminder
8. Queue

Next, when using the HubSpot CRM free version you get the sales tools we mentioned under Pros.

Sales Tools

Meetings – A personal widget which allows your prospects to schedule a meeting via a “meeting link”.

Documents – An email attachment tool, which gives you information on who interacted with your email content and for how long.

Snippets – It saves your pre-written replies to common questions (speaker biography for example) for a part of an email or live chat.

Templates – It lets you create standard email replies to your leads, prospects, and customers.

Calling – For up to 15 minutes per user/per month.

Notifications – You get up to 200 notifications on leads who click on a link in your email.

Do I Recommend HubSpot CRM?

Yes, I recommend HubSpot.

As far as CRMs go, they are hard to beat. It’s all in one tool, and they make it easy for you to set it up and use it from day one.

Trust me, your sales people will love this.

And it’s worth your money, which is why I recommend them.

The Bottom Line

To sum it up…

Here is what we found after using HubSpot CRM for more than 6 years.

Firstly, with HubSpot CRM you will no longer have to juggle between platforms to market to potential and existing customers.

Secondly, using HubSpot you can create and optimize content; you can develop relationships with buyers at every stage of the sales funnel and through every step of the buyer’s journey.

Thirdly, the HubSpot pricing offers you both a paid and free (HubSpot CRM free) version. You won’t see that too often with other CRM providers on the market.

Next, you can have a seamless experience with all the HubSpot integration partners from Slack, Databox, Vidyard, Shopify… the list goes on and on.

So, with HubSpot CRM you get it all in one tool.

What I liked about HubSpot CRM:

  • Easy to use email marketing feature
  • It can’t get easier to create and share meeting links
  • Responding to emails by using snippets (no need to rewrite things over and over)
  • Creating automated workflows with the sequence feature
  • Managing all contact details in one place
  • Great overview of all the “hot” deals
  • The wide variety of HubSpot Integrations
  • Both the HubSpot CRM free version and reasonable HubSpot pricing for different paid plans

What I didn’t like about HubSpot CRM:

  • Landing page editor not too easy to use for people who are not developers

The most impressive thing about HubSpot is that the features they offer make your life much easier. They’ve gone an extra mile to make sure the user interface (UI) would be easy to use even for new users.

And again, they are the only CRM that gives you most features for free, not just for freemium, but after testing and analyzing they can seriously rival many paid tools.

Honestly, they are very close to ideal.
